Cybersecurity & Information Systems Policy (Business Members)

Effective Date: 1 November 2025

1.         Purpose

Suite Seats is committed to maintaining a secure and trusted digital environment for all members and users of our workspaces.

This policy outlines the minimum standards of cybersecurity, data protection and acceptable use that apply when accessing Suite Seats’ Wi-Fi, digital systems, or shared technology resources.

It supports our obligations under the Privacy Act 1988, the Australian Privacy Principles (APPs), and our internal privacy and confidentiality frameworks.

2.         Scope

This policy applies to:

·                All Suite Seats Members, Users, and Guests accessing Suite Seats Wi-Fi, networks, or equipment;

·                Any devices connected to Suite Seats systems (including laptops, tablets, and mobile phones); and

·                All Suite Seats personnel managing or maintaining information systems.

By using Suite Seats technology infrastructure, you agree to comply with this policy and all related procedures.

3.         Suite Seats Responsibilities

Suite Seats will:

·                Maintain secure, encrypted Wi-Fi networks with managed access credentials;

·                Monitor systems for unauthorised access and malicious activity;

·                Apply reasonable safeguards (firewalls, antivirus, multi-factor authentication) to protect shared data and infrastructure;

·                Comply with the Privacy Act 1988 and manage all personal information in accordance with our Privacy Policy; and

·                Investigate and respond promptly to any reported cyber incident or data breach.

·                Maintain cyber liability insurance appropriate to the nature of Suite Seats’ operations.

4.         Member Responsibilities

Members and their Users are required to:

·                Use the network responsibly – do not attempt to hack, intercept, or access any system, file, or data belonging to another Member, Suite Seats, or any third party.

·                Secure your devices – maintain up-to-date antivirus protection, operating system patches, and strong passwords on all devices connected to Suite Seats’ networks.

·                Protect confidential information – encrypt or securely store any client or business data you access or transmit within the Workspace.

·                Manage data responsibly – comply with the Privacy Act 1988 when handling any personal information.

·                Avoid risky activity – no illegal downloads, file sharing, cryptocurrency mining, or activity that may disrupt the network.

·                Control guest access – Guests may only connect to Wi-Fi through authorised guest channels. Members are responsible for their Guests’ conduct online.

5.         Reporting Cyber Incidents

A data breach includes any unauthorised access, disclosure, or loss of personal or confidential information.

If you suspect a data breach, virus infection, or any unauthorised access to Suite Seats systems:

·                Disconnect the affected device from the network (if safe to do so); and

·                Notify Suite Seats immediately at team@suiteseats.au with a description of the incident.

Suite Seats will assess the issue, coordinate an appropriate response, and, if required, notify affected parties or the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) Scheme.

6.         Acceptable Use of Shared Systems

Members and Users must:

·                Use Wi-Fi and shared technology only for lawful business purposes;

·                Refrain from uploading, storing, or transmitting offensive, obscene, or defamatory material;

·                Respect all intellectual property rights when downloading or sharing content; and

·                Follow Suite Seats’ Fair Use Policy for printing and data consumption.

7.         Data Ownership and Storage

·                Files or data stored on Suite Seats shared drives or devices may be subject to routine security monitoring.

·                Members are responsible for maintaining their own backups of business data.

·                Suite Seats does not accept liability for data loss or corruption on personal devices or third-party systems.

8.         Breaches of Policy

Non-compliance with this policy may result in:

·                Suspension or termination of Workspace access;

·                Removal from the network; and/or

·                Recovery of costs associated with damage, reinstatement, or investigation.

Serious or repeated breaches may also result in termination of membership under the Access Agreement.

9.         Review

This policy will be reviewed annually, or following any significant changes to Suite Seats’ systems, to ensure continued compliance with privacy and cybersecurity best practice.

10.       Summary

Suite Seats provides a secure digital environment for business members. All users share responsibility for protecting data, maintaining good cyber hygiene, and reporting incidents promptly. Responsible digital conduct is essential to maintaining a safe, collaborative workspace.
